We have previously talked about most of the necessary documentation to import or export, but the customs clearance authorization is essential if we want a customs agency, such as Partida Logistics, to help us in the necessary steps to carry out commercial operations.
What is a customs clearance authorization?
Conducting trade transactions involves a series of more or less complex customs-related bureaucratic actions. In order to speed up the process, most companies usually entrust these formalities to a customs agency that will take care of them for them, thanks to its knowledge of these procedures.
In order for this agency to act on behalf of the company carrying out the transactions, it is necessary to carry out a procedure before the Tax Agency: the customs clearance authorization.
This, therefore, consists of an authorization given by the company to the agency to carry out customs formalities such as responding to requests, representation in inspections, executing commercial transaction declarations (import – export) or the declaration of the well-known Intrastat. If you want to know
what is declared in the Intrastat
we tell you here.
Types of dispatch authorizations
There are only two types of clearance authorizations:
Authorization for timely dispatch
Also known as Operation Dispatch Authorization, it means that the authorization is valid only for a single specific action fully defined in the authorization. This dispatch authorization must indicate not only the action to be authorized, but also the specific person who will carry it out.
Global clearance authorization
By means of this authorization, the customs representative may carry out all the formalities he deems appropriate or necessary during a specific period of time. In this way, the bureaucratic procedures for each transaction are significantly streamlined and, therefore, the transaction itself.
This type of authorization is especially useful when our commercial activity is destined for regular and repetitive operations, as is the case of our customers who regularly carry out
customs procedures with Morocco, where we specialize in exports.

Formalities to obtain clearance authorization
The first step is to gather all the necessary data of the company, called “operator”, which will carry out our customs representation, as well as the data of the Customs Representative. As a minimum we must have the address, CIF, name or company name, EOR number and the signatory.
The Tax Agency and clearance authorization
The
Tax Agency
makes available on its website an online form for users to carry out customs clearance authorizations, either on a one-time or global basis. In any case, you will need the digital signature that corresponds to the customs agency’s NIF to do it, as well as the data previously seen.
In this way, we can carry out all the clearance authorizations required, but skipping the physical bureaucratic procedures that slow down this type of operations so much. From the moment the Tax Agency accepts the authorization, the customs representative will have the capacity to manage, for example, all the documents necessary to export from Spain.
